Job Description:
We are looking for a welcoming, professional, and organized Front Desk Associate to manage our reception area and perform a variety of administrative and clerical tasks.
The ideal candidate will have experience in a customer-facing role and be skilled in handling inquiries from clients, coordinating with vendors, and liaising with associates and management.
This role is essential for creating a positive first impression of our organization and providing exceptional service to visitors, associates, and partners.
Key Responsibilities:
- Serve as the primary point of contact for visitors, associates, and vendors.
- Greet visitors and clients warmly, ensuring a welcoming and professional experience.
- Answer, screen, and forward incoming phone calls and emails promptly and
professionally. - Handle inquiries and complaints from clients, providing accurate information and ensuring customer satisfaction.
- Maintain a helpful and friendly attitude to ensure clients and visitors feel
valued and respected. - Work closely with associates across departments to facilitate smooth office
operations. - Communicate and follow up on meeting room bookings, visitor schedules, and daily office needs.
- Provide support to management for organizing company events, training
sessions, and meetings. - Coordinate with vendors and service providers for office supplies,
maintenance, and other services. - Track inventory and order office supplies to ensure adequate availability at all
times. - Maintain an up-to-date log of service contracts and renewals.
- Assist in basic administrative tasks such as filing, photocopying, data entry, and record-keeping.
- Handle incoming and outgoing mail, courier services, and deliveries.
- Maintain office cleanliness and a welcoming front desk appearance.
Qualifications:
- 6 months to 1 year of experience in a front desk or administrative role, ideally in a service organization.
- Any Degree or equivalent; additional certification in Office Administration or a related field is a plus.
- Strong interpersonal and communication skills, with a client-focused approach.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Proficiency in MS Office (Word, Excel, Outlook, ZOHO) and familiarity with phone systems.
- Organized, detail-oriented, and reliable, with a positive and proactive attitude.
